Understanding minimum group size and how it impacts your adventures on TourRadar is important to ensure a smooth booking process for travelers.
Many operators require a minimum number of travelers to book an adventure for their departure date to go ahead, or become a guaranteed departure date. This setting can be found in the 'Operator Page' tab within the 'Profile' section of your Operator Dashboard.
Note: Listing your minimum group size here does NOT prevent solo travelers or small groups from booking your adventure. We understand that you may receive bookings directly and can still reach the minimum departure requirement if a solo traveler books through TourRadar.
Handling Bookings Below Your Minimum Group Size
Sometimes, you may need to cancel bookings due to not meeting the minimum number of travelers, or if a solo traveler books and no one else joins that departure date. Here are some solutions to manage such situations:
- Double Room Pricing: List only double room pricing, prompting solo travelers to inquire about pricing before booking. This allows you to recommend departure dates that meet the minimum number of travelers or to provide a private tour quote.
*This disclaimer will appear on your adventure if you do not offer room types for solo travelers to book. - Turn Off Instant Book: This will prevent solo travelers from instant booking your adventures, and the booking will be pending. This will allow you a chance to offer alternative tours or departures if their initial date has not met the minimum group size.
- If you decide to keep Instant Book turned on and your departure has not met the minimum requirements to depart, please notify those travelers ASAP. It is important to advise them not to book flights yet, and also give them a timeline for when you will know if their departure will go ahead or not.
- Add a Larger Single Supplement: If the adventure can still go ahead, if the traveler pays for the price of two travelers (or a private tour surplus), create a single room type and set the price of the room equivalent to the price of two travelers.
