How to Add/Edit Room Types?

Create room types and add them to your departure dates by following the steps below.

Ensure your room types are consistent across all tours and departures by setting them up under the Rooms & Traveler Types tab. This helps travelers easily choose the correct room type when booking a departure date.

Step-by-Step Instructions:

  • Go to your Operator Dashboard

  • Select the adventure you want to edit

  • Click the Room & Traveler Types tab

  • Scroll down to the Room Types section

Rather than typing a room name, you'll answer a few quick questions and TourRadar builds a standard name for you automatically — this keeps room names consistent and easy for travelers to compare across tours.

To create or edit a room, fill in:

  • Number of Guests (mandatory)
  • Bed Setup (mandatory, 2-guest rooms only): choose Double, Twin, or Double or Twin. This feeds straight into the generated name (e.g. "Twin Room"). For 1, 3, 4 or more guests, TourRadar sets this part of the name automatically (Single, Triple, Quadruple, etc.), so you won't see this option.
  • Room Sharing (mandatory): choose Private or Shared:

Private: Room is reserved exclusively for your party and is not shared with other travellers. This can be a single traveller or multiple travellers who are travelling together and want to stay in the same room.

Example:

  • A solo traveller books a Private room → they will have the room entirely to themselves.
  • Two friends travelling together book a Private room → they will share the room with each other, but not with anyone outside their group.
  • A traveller within a group prefers their own space → they can choose a Single Room option (if available), which guarantees individual occupancy.

Shared: Room may be shared with other travellers, typically matching solo travellers of the same gender. It can also be booked by travellers who are already travelling together.

Example:

  • A solo traveller books a Shared room → they may be paired with another solo traveller of the same gender.
  • Two friends travelling together book a Shared room → they can share the room with each other, depending on availability.
  • A group books a multi-person room (e.g. dorm-style) → they may share the room among themselves or with other travellers if the room capacity allows.

Add More Detail (optional):

Click "Add more detail" to expand a few extra fields. These are optional, but each one you select is added to the generated room name, so only fill in what's relevant to this room:

  • Grade: Standard, Superior, Deluxe, Luxury, Comfort, Classic, Premium, Budget, Economy, or Basic
  • Bed Type: King, Queen, or Bunk Beds (options shown depend on the guest count and bed setup)
  • Star Rating: 2 to 5 Star
  • Category: a short code if your accommodation uses one (e.g. CD, UG1X, A)
  • Board: B&B, Half Board, Full Board, or All-Inclusive
  • Bathroom: Private Bath or Shared Bath
  • Gender: Mixed, Female Only, or Male Only (Shared rooms only)
  • Accessible Room: tick if the room is wheelchair/accessible-friendly

Naming the Room:

  • Description (optional): add anything the name doesn't already cover. Keep it short (60 characters max) and don't repeat the room name.
  • Room Name: TourRadar generates this automatically from your selections above, and updates live as you fill in the form. You'll see it under "This is what travellers see."

Use the generated name wherever possible — it keeps room names consistent for travellers across all operators. If it genuinely doesn't fit your room, click Edit next to the preview and type your own. If your custom name looks like a standard name (e.g. just "Double" or "Twin"), TourRadar will suggest using the generated name instead.

To edit an existing room:

  • Click the blue circle button next to the room

  • Update any of the fields above

  • Click Save

Adding Rooms to Your Departure Dates

After creating your room types, add them to your departure dates. Travelers choose a room type when booking, so each departure needs at least one room attached.

Step-by-Step Instructions:

  • Log in to your Operator Dashboard
  • Click on the adventure you want to edit
  • Go to the Pricing & Availability tab
  • Select the checkbox next to the departure(s) you want to update, then click Edit Departures > Edit Pricing
  • In the pricing editor, select the room(s) and enter the price per person
  • Click Save Departures to apply your changes
  • Once saved, travelers booking those dates can choose from the room options you've assigned

Important Notes:

  • Set your rooms as a per person price when listing them. For example, if the price of a single room for a traveler is $1000, the price of a double room would normally be cheaper as that price is split between two travelers instead.

  • Room types cannot be deleted. If you don't want to use a specific room, simply don't select it when adding rooms to your departure dates.

  • If your tour doesn't include any room types, create a room titled "Tour Only" and add a short description explaining that no accommodation is included.
